Last reviewed: July 2026

Recruiterflow is an ATS and CRM for recruiting and staffing agencies, running 1,700+ of them. In 2026 its homepage reads "AI-native intelligence. Enterprise-grade depth." This review covers what the platform includes, what its AI costs, and how it compares with Spott.

The short version: the Platform plan at $119 per user per month billed annually carries the ATS, CRM, sequences, and automation, and none of the AI. Every AIRA agent sits on a second plan with no published price. Spott publishes both of its numbers and puts the intelligence in every plan.

Recruiting ops platform vs AI-native platform

Recruiterflow's approach: a recruiting operations core with the intelligence sold as a second product. AIRA covers a wide roster, from the Notetaker and Matchmaker to Job Change Alerts and AIRA Search, and their own plan table shows where all of it sits: on the custom-priced plan, not the one you can buy from the page.

Spott's approach: one data model that AI keeps current, so matching, note-taking, drafting and reporting are what the platform does rather than what you add to it. Core is $139 and Pro is $199 per user per month billed annually, both on the pricing page.

What does Recruiterflow's pricing include?

Recruiterflow's pricing page lists two plans. Platform runs $119 per user per month billed annually, $149 monthly, and covers the ATS and CRM with unlimited jobs, candidates and contacts, multichannel sequences, recruitment and sales automation, the Chrome sourcing extension, reports, and API access. Within that plan, there are no add-ons.

The AIRA plan's price button says "Let's chat custom pricing." Behind it sits everything the marketing now leads with: the Notetaker, Matchmaker, AIRA Source, Field Updates, Submission and Task agents, Job Change Alerts, the phone and email finder, omnichannel communication sync, and custom BI dashboards. Their feature-breakdown table marks each as AIRA-only. Once you're on that plan, all current and future agents are included with no per-agent fees. The number just isn't public.

Bottom line: the published price buys the traditional feature set. The AI feature set starts with a sales call.

Search and matching

Recruiterflow's Platform-plan search runs on keywords and filters, with no semantic reading of notes, emails, or call content behind it. AIRA Search and the Matchmaker handle natural language and scored shortlists, both on the custom-priced plan. Recruiterflow also shipped an MCP connector; per their help center it is read-only and limited to exact full-name candidate lookups.

Spott puts semantic matching in every plan. Describe the person in plain words and it reads meaning across CVs, transcripts, notes and attachments, then shows the reasoning behind each name. Spott's MCP server also reads and writes: connected assistants can search records, create candidates, move applications, and send emails.

Bottom line: natural-language search exists on both sides. At Recruiterflow it is quoted; at Spott it is the default.

Sourcing and data quality

Recruiterflow's Chrome extension handles one-off and bulk imports and sits at the centre of the sourcing workflow. The fixes it built on top of that, the verified phone and email finder and the Field Updates agent, are both AIRA-plan features per its own feature table.

Spott treats record upkeep as the platform's job. Every email, WhatsApp and call note files itself against the right candidate as it happens, and a Pro-plan enrichment run tops up missing phone numbers and emails on demand.

Bottom line: Recruiterflow's sourcing runs through a browser extension, and database upkeep stays manual until you buy the agents.

Communication and automation

Recruiterflow's automation engine runs across 1,700+ agencies, and the Sequences builder that replaced Campaigns in May 2026 widened the step list: automated, manual and marketing email, text steps through a connected SMS provider, and task steps. The sequences page sells "email, calls, SMS, professional networking platforms natively" with branching logic. The plan detail sits in the help center: LinkedIn connection and message steps and conditional branching require the AIRA plan, branching is greyed out with an upgrade prompt on other plans, and InMail is not a documented step type.

Recruiterflow outreach campaign builder

Spott keeps the whole conversation on the record. Its communication timeline carries mail, calendar and WhatsApp against each candidate, campaigns and automations run on the Pro plan, and the note-taker joins Zoom, Teams or Meet calls and files structured notes on every plan.

Bottom line: the sequencing features Recruiterflow advertises hardest sit on the plan without a price.

Support and reporting

Recruiterflow markets named account managers and SLA-backed support, and its own testimonials page leads with support. Reporting is where the plan split shows: Platform-plan analytics are labelled "Basic" on the feature table, and the custom BI dashboards sit on the AIRA plan alongside the rest of the intelligence.

Spott keeps support with the team building the product, and Priority Support is part of the Pro plan.

Bottom line: the day-to-day help sits on both plans; the deeper reporting is behind Recruiterflow's AIRA upgrade.

Switching from Recruiterflow

Teams rarely leave Recruiterflow angry. They leave calculating, at the point where AI stops being an experiment and the real per-seat cost becomes the Platform price plus an unquoted AIRA number.

The move itself is smaller than the decision. Recruiterflow offers free self-serve CSV import and quotes its paid white-glove migration at 6 to 8 weeks. A Spott migration typically lands around the four-week mark, handled by Spott's in-house migrations team, and candidates, clients, jobs, notes and past activity arrive attached to the right records.

Where Recruiterflow is still a good choice

  • Automation is your requirement, not AI. The recipe engine has years of iteration behind it, and the Platform plan covers automated admin and sequences.
  • Support access decides your shortlist. Named account managers and SLA-backed support are central to how Recruiterflow markets itself, on every plan.
  • You want a traditional core at a published price. $119 per user per month billed annually covers unlimited jobs, candidates and contacts.
  • Email-and-phone outreach is your bread and butter. Platform-plan sequences handle email, text and task cadences without an upgrade.

Where Spott wins

  • The intelligence is on the price list. Semantic matching, the note-taker, drafting and reporting sit in every plan from $139 per user per month.
  • One record holds the whole conversation. The candidate's timeline carries mail, calendar and WhatsApp side by side.
  • Matching shows its work. Shortlists come with the reasoning visible, built from meaning across CVs, notes, transcripts and attachments.
  • Client-ready presentation in your own brand. Share shortlists from a client portal that carries your branding, straight off the record.
  • European by default. EU company and hosting, ISO 27001, a public security page, and a published promise that candidate data stays out of AI training sets.

What are the best Recruiterflow alternatives?

It depends which trade-off sent you shopping. Recruit CRM is the closest peer, with a credit-metered AI model of its own; Loxo is a step up in AI ambition; Bullhorn anchors the enterprise end. For the wider field, start with our top 10 ATS and CRM platforms for recruiting agencies in 2026.

Bottom line

As a traditional recruiting-ops platform, Recruiterflow's core is published at $119 per user per month and the automation runs on every plan.

Judged as what it now calls itself, every AI capability sits on a plan with no public price, and the part of the product it sells hardest is the part you cannot cost from the pricing page. Spott never had a non-AI version to price separately.

Frequently Asked

  • How much does Recruiterflow cost per user per month?

The Platform plan is $119 per user per month billed annually, $149 monthly, covering the ATS, CRM, sequences, automation, reports and API. Every AI feature, including the AIRA Notetaker, Matchmaker, Source agent, Job Change Alerts and the phone and email finder, requires the AIRA plan, which is custom-priced and not published. Spott's pricing is $139 (Core) and $199 (Pro) per user per month billed annually, with the AI in both.

  • What is Recruiterflow's AIRA plan?

AIRA is Recruiterflow's AI layer, sold as a separate plan on top of Platform: Notetaker, Matchmaker, Source, Field Updates, Submission and Task agents, Job Change Alerts with Exec Watchlist, Company Intelligence, a verified phone and email finder, omnichannel communication sync and custom BI dashboards. Pricing comes only through a sales conversation; once on the plan, all current and future agents are included.

  • Is Recruiterflow legit?

Yes. Recruiterflow is a bootstrapped US company whose platform runs 1,700+ recruiting and staffing agencies. The things to scrutinize before buying are structural rather than trust-related: all AI sits on an unpriced plan, and the sequencing features in the marketing are gated to it.

  • Does Recruiterflow support LinkedIn outreach in sequences?

Only on the AIRA plan. Since the May 2026 Sequences rollout, LinkedIn connection requests and messages to first-degree connections are native step types, but Recruiterflow's own step-type reference marks both "AIRA Plan only," conditional branching is likewise AIRA-gated, and InMail is not a documented step type. On the Platform plan, sequences run email, text and task steps.

  • What are the weaknesses of Recruiterflow?

The friction is commercial rather than technical. All AI and social sequence steps require the unpublished AIRA plan, deeper reporting and the BI dashboards sit on that same plan, and database upkeep stays manual on Platform without the AIRA field-update agents.

  • What is the best Recruiterflow alternative?

For teams leaving over the AIRA quote wall, Spott is the closest upgrade: semantic matching, a built-in note-taker, one timeline per candidate for mail, calendar and WhatsApp, and client-ready candidate presentation, inside published $139/$199 pricing. Migration takes roughly four weeks, handled by Spott's in-house migrations team. For a wider shortlist, see our top 10 ATS and CRM platforms for 2026.
